Mail arrives
Letters and packets addressed to your Basely Virtual address are received at our secure Covent Garden premises.
Opened securely
Your mail is opened by our trained staff under strict confidentiality protocols. Only authorised personnel handle mail items.
Scanned at high resolution
Every document is scanned at a minimum of 300dpi, producing clear, readable digital copies suitable for professional use.
AI classification
Our AI system reads and classifies each item — identifying type (invoice, legal notice, marketing, etc.) and summarising the content.
Uploaded to your dashboard
Scanned documents are uploaded to your secure, encrypted dashboard. You can view, download, forward, or archive each item.
Email notification
You receive an immediate email notification when new mail is available in your dashboard, with a summary from our AI.

Security and confidentiality
All scanned documents are stored encrypted using AES-256 encryption at rest and TLS in transit. Access is controlled by role-based permissions. Our scanning staff operate under binding confidentiality agreements and all activity is logged and audited.
We are registered with HMRC as a Trust or Company Service Provider (TCSP) and comply fully with the Money Laundering Regulations 2017 and UK GDPR.

Is it legal to open and scan my mail?
Yes. By signing up to our mail scanning service, you give us explicit authorisation to open and scan your mail on your behalf. This is a standard arrangement for virtual address services and is fully compliant with UK postal regulations.
Who has access to my scanned mail?
Only you and any team members you explicitly authorise on your account can view your scanned mail. Our staff only access items during the scanning process under strict confidentiality protocols.
What types of mail can you scan?
We scan standard letter mail — envelopes and documents up to A3 size. We cannot scan bound books, magazines, or thick catalogues. Fragile or unusual items will be flagged to you before any action is taken.
What happens to the physical mail after scanning?
After scanning, physical mail is securely shredded by default. If you need originals retained and forwarded, you can enable mail forwarding and we will hold items for your next scheduled dispatch.
